Personal Assistant to MD

We are looking for an experienced Mandarin speaking PA to support the Managing Director of a leading brand in the domestic market in China

We are looking for an experienced Mandarin speaking Personal Assistant to support the Managing Director of this leading brand. You will provide professional, high quality day to day support with administration, calendar management, coordination of services including travel and accommodation and project support. This will be both business and family related.

Day to day responsibilities include:

• Devising and maintaining MD office systems, including data management, email and filing.
• Arranging travel, visas and accommodation, occasionally travelling with the MD to take notes or dictation at meetings or provide general assistance during presentations.
• Screening phone calls, enquiries and requests, and handling them when appropriate.
• Meeting and greeting visitors at all levels of seniority.
• Organising and maintaining diaries and making appointments.
• Dealing with incoming email, faxes and post, often corresponding on behalf of the MD.
• Carrying out background research and presenting findings.
• Producing documents, briefing papers, reports and presentations.
• Organising and attending meetings and ensuring the MD is well prepared for meetings by providing background information, peoples profiles and company information.
• Liaising with clients, suppliers and other staff.
• Liaising with and answering enquiries from HQ, media, individuals and other organisations, often via telephone and email.
• Preparing and supervising the production of publicity brochures, handouts, direct mail leaflets, promotional videos, photographs, films and multimedia programmes.
• Devising and coordinating photo opportunities.
• Sourcing and managing speaking and sponsorship opportunities.

The successful applicant will:
• Must be fluent in both English and Mandarin
• Excellent communication skills both written and verbal
• Strong administration/coordination experience in a fast-paced environment
• Highly customer service focused
• Great at developing and maintaining excellent internal and external relationships
